Payroll Analyst - Santa Clara, CA

Seeking a Payroll Administrator to assist our company during an employee's maternity leave. This contract position is expected to last until December 2018


  1. First point of contact for all Payroll inquiries

  2. Fully responsible all aspects of 1 USA semi-monthly payroll (40 entities). Oversight responsibility for 2 other Payrolls (Local and Ex-Pat): Information is entered into the system, by others, weekly and monthly to prepare for payroll deadlines.

  3. Balance all payroll reports after each payroll run and distribute necessary reports to each location.

  4. Maintain all employee personnel, benefits, payroll and 401(k) files.


  1. Administer disability and workers' compensation claims.

  2. Provide day-to-day medical benefits administration services. Assist employees' with any benefits issues.

  3. Reconcile Nippon, VSP, Ceridian & COBRA monthly billing statements.

  4. Prepare and maintain reports that are necessary to carry out the functions of the Human Resources department. Prepare periodic reports for management, as necessary or requested, i.e.: Benefit and Comp Statements, monthly, mid year and fiscal year end reports

  5. Administer the day-to-day transactions of the 401(k) plan and process employee contributions, loans and applications.

  6. Complete mid-year and annual 401k compliance testing.

  7. Gather and complete all tasks for payroll, 401k, work comp and JSOX audits.

  8. Create special reports for accounting

  9. Other duties as assigned by Director of Human Resources or CFO/CCO


Working knowledge of Federal and State labor laws, and the ability to research and seek guidance for clarification. Skills to plan work and meet deadlines. Excellent written and verbal communication skills. Detail oriented, and the ability to handle multiple projects and priorities in a fast paced environment. Strong critical thinking and analytical skills, as well as sound judgment. Strong public relations and interpersonal skills needed for harmonious work relationships and ability to serve internal and external customers. Demonstrated ability to analyze data and provide solutions. Maintains positive customer focused approach and maintains confidentiality at all times. Proficient with Payroll Systems, Microsoft Office suite of products (Word, Excel, PowerPoint) and Human Resources Information System (HRIS).


  1. Bachelor's degree in business or related field or equivalent experience is strongly preferred

  2. Minimum of two years of experience working in payroll

  3. Must have good verbal and written skills. Must be pro-active listener to problem solve employees issues.

  4. Solid working knowledge of Ceridian, HRMS systems, MS Office Suites

  5. Must have ability to deal with and maintain highly confidential information. Must be detail orientated and accurate in all phases of work. Inter personnel skills must be at a high level. Knowledge of state and federal employment laws relating to key areas of responsibility

7+ years experience manually processing Payroll (30-40 employees); experience processing expats highly preferred
