We are a leading cybersecurity firm with locations in New York City, London Sao Paolo, and Tel Aviv and are looking for an Executive Personal Assistant to support the firm's CEO.
Provide high level confidential executive support to C-Suite Executive including, but not limited to, heavy calendar and travel management, communication and follow up, timely execution of all projects, assigned or warranted. Provide highly effective coordination with the globally distributed leadership team and demanding support for the CEO in his executive and related personal responsibilities and projects.
Anticipates daily needs by managing heavy calendar/travel, dates of importance and expected deliverables**
Heavy travel management
Coordinating travel itineraries both domestic and international, as well as confirming all pertaining travel details and providing accurate and detailed itineraries and organize travel related expenses
Receive, escalate and address a significant amount of verbal and written company and client requests and communication
Able to draft and edit executive communications
Organize, Coordinate and Track initiatives/projects/logistics associated with internal and external meetings, appointments and conferences, including offsite management/marketing/other meetings and events
Able to coordinate with global leadership team and with office manager in each location
Corporate calendar management
Execute projects for CEO, presentations, marketing and related investor communications.
Flexible including willing to work overtime with little to no notice as well as work for an Executive who is in different global time zones at any given time
Full execution of all day to day administrative operations as needed and special projects/requests as well as the ability to handle multiple projects with ease.
Perform standard clerical duties such as copying, scanning, filing, answering phones as well as preparing expense reports
Occasional event planning including creating invitations and tracking responses
PR archive organization includes scanning, downloading and PPT
Occasional event planning – creating invites, tracking RSVP
Ability to understand and connect with Executive mindset
Other support duties as assigned
Executive/Personal Assistant with 2-5 plus years of experience. College grad a plus.
