HR / Office Coordinator - Houston, TX

MAIN PURPOSE:

Provide support in functional areas of the Human Resources Department and office operational support

MAIN RESPONSIBILITIES:

  • • Supports HR initiatives, projects, programs and policies
  • Provides customer service support to employees. Answer questions and addresses concerns related to benefit issues and HR programs
  • • Assists with special projects, reports, presentations, etc. ongoing and as required
  • Maintain and support office efficiency and budget including ordering supplies, working with vendors, suppliers and Facilities department, distributing mail and front desk duties, as needed
  • Conducts onboarding of new hires displaying fluency in company polices, benefits, employee systems, etc. Coordinates pre-screening and collects and processes new hire paperwork
  • Manages and updates various HR systems including HRIS, Benefits and payroll systems, third-party databases, etc. to ensure accuracy
  • Partners with shared services teams to ensure facility needs are met with regards to travel, Human Resources, payroll, recruiting and others
  • Provides training and guidance for staff and managers on HR systems and programs
  • • Coordinate and track corporate sponsorships and Visa's
  • • Schedule training and maintain internal training matrix and data storage systems
  • Schedules, manages and tracks process for drug/alcohol and other employment testing programs
  • Filing and maintaining established record keeping procedures
  • • Attendance tracking and system maintenance
  • • Manage and code medical and HR invoices
  • Assist with short/long term disability claims/FMLA leave management
  • • Assists and supports performance management process and compensation reviews
  • Provide recruiting support which may include scheduling interviews, assisting with job fairs, reference checks, creating offer letters and editing job descriptions
  • • Schedule, communicate and coordinate company events
  • Assembles, prepares and analyzes reports
  • Liaise with other departments, facilities and teams as needed for facility certification, customer requirements and internal initiatives or projects

Requirements:
SKILLS/QUALIFICATIONS: - Minimum of 2 years of relevant business, office and/or Human Resources experience - Bachelor’s Degree in a relevant area or HR Certification preferred, but not required - Good understanding of various employment laws, HR practices, benefits and payroll principles - Experience in administration of HR programs including benefits and payroll - Strong business office skills: telephone, organizational and computer abilities (Microsoft Office) - Excellent interpersonal and team building - Effective communication skills, both spoken and written - Capable of displaying problem solving and decision making skills for day to day business support in a timely manner - Strong analytical skills and a high level of attention to detail - Ability to perform tasks independently, with minimal supervision, as well as within a team environment - Ability to multi-task and effectively manage work across multiple projects - Models company policies, good behaviors and is a positive influence - Exhibits a high level of confidentiality - Skilled in database management and record keeping
