The Human Resources (HR) Records Supervisor manages the HR Records Department team, supervising and directing team members, ensuring the proper maintenance and use of Company human resources forms, documents, reports and both paper personnel files and electronic HR databases.

Some Duties and Responsibilities:
The essential duties and responsibilities of this position include but are not limited to the following:

  • Recruiting, selecting and supervising a staff dedicated to the archival and maintenance of all company personnel files and databases in compliance with applicable legal requirements.

  • Creating, implementing and adjusting HR Records Departmental procedures and processes as needed.

  • Ensuring all team members adhere to all records retention and reporting policies.

  • Administering or facilitating Company's applicant tracking system, employee verification program, unemployment cost control program and any tax credit recover programs.

  • Assisting in any and all local, state, and federal audit requests.

  • Prepare, update, and/or distribute pertinent HR reports and requests generated by authorized users.

  • Facilitating pertinent requests (for documents and/or reports) from members of Senior Management.

  • Facilitating and/or preparing any monthly, quarterly, or annual reports as needed.

  • Supervising staff in the processing of member status changes in a timely manner.

  • Facilitating accurate completion of forms required to place members into the payroll and HR database.

  • Facilitating the processing of any personnel action forms.

  • Assuring proper approvals of all status changes and personnel action forms, disseminating copies of such forms to authorized users.

  • Facilitating the creation of new personnel files.

  • Supervising member termination paperwork.

  • Ensuring compliance with e-Verify and I-9 documentation and reports..

  • Supervising the processing of Member to Member Assistance Program requests and the Company's Travel Reduction Program.

-Supervisory experience, preferably in a human resources department. -Knowledge of multiple human resource disciplines. -Knowledge of federal and state employment and benefits laws. -Demonstrate the high level of interpersonal skills necessary to interact successfully with team members and the retail and office members working in our many retail stores and offices. -Lead others within the HR Records team, following and setting goals and objectives, acknowledging member performance, rewarding them and holding them accountable for their performance. -Work to complete tasks and projects with little supervision. -Very strong organizational skills. -Ability to handle sensitive and confidential situations and documents. -Established proficiency with Microsoft Office applications including Word, Outlook and Excel. -Ability to use computerized database systems. -Knowledge of established office administration practices and procedures. -Excellent telephone and oral communication skills. -Excellent customer service skills, typing skills, and the ability to alphabetize documents correctly. -Must have enough dexterity with fingers and hands to use a keyboard and file documents into personnel folders. -Must be able to read reports, UPC codes, and information contained in databases. -Must be able to twist torso and lift at least 30 pounds. -Must be able to sit for long periods of time.
