Executive Administrative Assistant to CEO - New York, NY

Our client is an S&P 500 company and New York City's largest office landlord, is a fully integrated real estate investment trust, or REIT, that is focused primarily on acquiring, managing, and maximizing the value of Manhattan commercial properties.

REPORT TO: Executive Assistants to CEO and Chairman

This position provides general administrative support for the Executive Assistants to the Chief Executive Officer and Chairman. In addition to typing, filing and scheduling, this position performs duties including coordination of meetings and conferences, obtaining materials for meetings, coordinating direct mailings, and working on special projects. Also, the person in this role answers non-routine correspondence and assembles highly confidential and sensitive information.


• Routine correspondence

• Mailing, filing and archiving confidential and sensitive documents

• Rapid recording of verbal dictation

• Scheduling/heavy calendar maintenance

• Comfortable communicating on the phone

• Intermediate knowledge of MS Word, Excel and (PowerPoint a plus)

• Proficient in Outlook

• Maintenance of personnel/business sensitive correspondence

Knowledge, Skills, and Qualifications:

• High school diploma is required. Secretarial/Administrative coursework preferred.

• Two (2) years of administrative experience, preferably within an executive department or in a very active office atmosphere

• Experience working for a Finance or Real Estate corporation is strongly preferred

• Thorough knowledge of grammar, punctuation and spelling required assuring that all documentation is prepared in an accurate and timely manner

• Strong verbal and written communications skills and possess the ability to organize and prioritize work

• Strong attention to detail

• High level of confidentiality essential

• Professional demeanor

• Pleasant and effective under pressure

• Willing to work early or late on occasion when necessary to meet deadline requirements

• Persistent in follow-up

• Energetic and enthusiastic team player

• Willing to learn new skills

• Ability to handle multiple projects simultaneously
