Marketing Assistant - Lake Forest, CA

Position Summary:

This position requires excellent organizational skills. Must be detail-oriented and have excellent time management skills. This position serves as a key support to the marketing department, sales team, and CEO. Must understand the whole business cycle and what current and prospect customers' needs are. Requires data entry, phone answering, cold-calling, travel planning, and researching.

Responsible for supporting all tradeshows and events throughout the year. Plus managing all Sample and Display requests.

Essential Job Functions:

  • Responsible for Tradeshows and Events
  • Manage and update a yearly tradeshow and event spreadsheet, must include all relevant information and status
  • Create and maintain individual folder files for each Tradeshow and Event
  • Support with the creation of punch lists for each tradeshow and event
  • Register company and participants as requested
  • Research and reserve all travel arrangements (including flights, hotels, and rental cars.)
  • Research and Reserve Meeting Rooms for Sales Meetings, coordinate all logistics, presentation equipment, and meals
  • Setup Tradeshow logistics – electrical, material handling, labor if needed, and all other Tradeshow related paperwork
  • Coordinate Booth shipping logistics and all necessary paperwork
  • Help coordinate all the necessary items needed for each Tradeshow and Events are completed and shipped accordingly
  • Support the Marketing team for National Sales Meetings throughout the year
  • Make sure all samples and displays required for meeting are available
  • Help with literature needed for meeting
  • Provide feedback with presentation
  • Help organize all materials for shipment if required
  • Assists with confirmation of attendees before and at the meeting
  • Provide detail report to Marketing manager around each meeting
  • Assists Sales Reps and Regional Managers with their individual events as requested
  • Review all items requested for events (Samples, Displays, literature, )
  • Coordinate logistics for shipping of all items
  • Attend various Tradeshows & Events as requested travel is required
  • Work the booth by greeting customers and talk about our products
  • Perform competitive analysis by visiting competitors booths and collecting information and collateral
  • Provide detail report to Marketing Manager around each tradeshow and event attended
  • Manage and update the Lead Database
  • Input all Sales reps leads and all tradeshow and events leads
  • Research and qualify other types of leads and input into database
  • Maintain and update the Newsletter Builder database
  • Create and manage all different list categories
  • Develop special groups as needed
  • Assist with Front desk phone coverage during Office Coordinator's afternoon breaks. Assist on phone coverage as necessary.
  • Assist with Mobile Showroom events planning and execution
  • Help Sales with dates coordination
  • Update mobile showroom appointments on the shared Google Calendar
  • Send appropriate literature and collateral for event
  • Review any special event flyers and verify data is accurate
  • Assist Sales Department with Cold Calls for Regional Sales Managers to help get trailer appointments
  • Use yellow page program to look up leads for cold-calling
  • Qualify potential trailer appointments, call and use script, take notes about call, make sure appointment works with Regional's Google Calendar
  • Notify all Regionals Sales Managers of all appointments
  • Help with the Quarterly marketing inventory
  • Support CEO, Sales, and Customers with Travel Arrangements
  • Serve as back up for Fax Order Confirmations for customer service as needed
  • Manage all Sample and displays orders for Sales Managers, Sales Reps, Distributors, potential customers
  • Receive, organized, and prioritize all Samples and Display orders
  • Work with Sales Reps, Distributors, and customer on all samples and display requests to identify requirements, provide feedback and recommendations
  • Provide request to CEO and receive approval before proceeding
  • Process requests following standard order procedure (Get approval, create picking slip, get travelers, follow up on orders)
  • Work with operations to complete all Samples and Display requests
  • Inspect all Samples and Displays before shipping
  • Assist with overseeing corporate showroom is updated with all the latest fixtures
  • Process all necessary samples following stand procedure (Get approval, create picking slip, get travelers, follow up on orders)
  • Inspect all samples before placing them in showroom
  • Maintain and update all Wall Calendars with all Tradeshows, Events, and Team member schedules
  • Assist Marketing department with monthly seminar
  • Help with Attendees confirmations and special travel requests
  • Assist with any printing requirements (badges, name tags, etc.)
  • Day before Seminar: Help Set up in Show Room as needed
  • Day of Seminar: provide phone coverage as needed
  • Assist Marketing Manager with projects and tasks as requested
  • Help with development and monitoring of Regional Sales Managers Schedules
  • Review and provide feedback on new literature and collateral
  • Manage CEO Calendar Events
  • Other duties as assigned.

Education and Certifications

  • Associates degrees or 2+ year (s) experience in the field or in related area.

Requirements:
Ability to multi-task and prioritize work. Strong project management skills. Excellent time management and organizational skill set. Excellent communication skills in both verbal and written. Must possess strong experience with Tradeshow logistics Strong knowledge of Microsoft Office Suite Can work in a fast pace environment Works well within a team and independently. Self-motivated, shows initiative and is a quick learner. Must possess enthusiasm for helping on all aspects of marketing Excellent Executive support experience Demonstrate ability to review literature and collateral pieces. Must be detail-oriented and a team-player. Previous switchboard or phone experience Willing to Travel when necessary Experience with managing detailed schedules
